CRM comparison tool: score vendors on the criteria that matter
How to run a CRM comparison with weighted scores, a worked matrix, and practical buyer framing from SchemaDesk.

We built SchemaDesk. These guides are our honest take on the CRM category, including where we are not the right fit.
What a comparison tool should optimize for
A good CRM comparison is not a feature encyclopedia. It is a scored matrix against your requirements, plus notes from a hands-on pilot. Marketing pages will always look complete; your matrix should look selective.
SchemaDesk publishes this comparison guide as a free buyer guide from the team behind the product. Use the method below in a spreadsheet now; those same rows will power the interactive comparison experience later.
Comparison method
List 8 to 12 criteria from your requirements doc. Assign weights that sum to 100. Score each vendor 1 to 5 with evidence from demos or trials. Multiply and rank. Force every score to cite a proof point so optimism does not inflate totals.
- Data model and customization
- Ease of daily use for sellers
- Admin and permission model
- Reporting quality
- Integrations you need on day one
- Implementation risk and time
- Three-year cost
- Vendor support and roadmap fit
Inputs to gather
You need requirements, pricing assumptions, and demo notes. Without those, comparison tools just rearrange logos.
- Weighted criteria from stakeholders
- Same seat and module assumptions for every quote
- Pilot results on one shared sample dataset
- Security questionnaire answers
- References from similar company size
Worked example
Criteria weights: data model 25, usability 20, cost 20, integrations 15, admin 10, support 10. Vendor A scores 4, 5, 2, 5, 3, 4. Weighted total = (4×25)+(5×20)+(2×20)+(5×15)+(3×10)+(4×10) = 100+100+40+75+30+40 = 385 out of 500.
Vendor B scores 5, 4, 4, 3, 5, 3 for 100+80+80+45+50+30 = 385 as well. Tie on paper. The pilot decides: if Vendor A's reporting needs a consultant and Vendor B's custom objects work in a day, Vendor B wins the tie-break.
Where SchemaDesk usually scores
Teams that weight data model and admin simplicity high often shortlist SchemaDesk. Suites may win ecosystem-heavy buys. Use this free comparison method either way, then implement when the matrix and pilot agree.
FAQ
How many criteria is too many?
Past about 15, everything averages out and brand bias returns. Keep the matrix tight and park edge cases in a must-pass checklist.
Should price be the top weight?
Rarely. Underweighting process fit creates cheap tools nobody uses. Put cost in the top half of weights, not alone at the top.
Is SchemaDesk included automatically?
Include any vendor that fits your must-haves. SchemaDesk publishes the free comparison guide so you can score fairly, including us when customization is on the shortlist.
